Borrowing Privileges

Picking up books for someone else: ILLs can be picked up by anyone if they ask for the materials. Hardin Library books can only be checked out by someone else IF they have a proxy card.  NO EXCEPTIONS EVER!

CIC Reciprocal Borrowing Privileges: Faculty and emeritus faculty with a valid circulation card may check out materials from our collection. More information may be found online at: http://www.lib.uiowa.edu/circ/reciprocal/​

Creating Guest IDs

Creating Guest IDs:
*Patron must have a govenrment issued ID*  ITS doesn't have an age requirement.

  1. Ask the patron for a government issued ID card. 
  2. Go to https://iam.uiowa.edu/uiguest and log in using your HawkID.
  3. Enter patron's name AND an email address OR phone number.
  4. For the Guest Type, select "Libary Patron."  
  5. Enter the patron's driver's license number (or other ID number).
  6. Ask user length of time needed. The defualt is 3 days but this may be extended for up to one month if needed, but do not extend beyond a month. 
  7. Select Yes for allowing password changes. 
  8. Select no to the ? about wireless access. As of June 2021, guest users cannot access Eduroam network with guest credentials. They need to use a computer in the building for access to resources. 
  9. Ignore last question (it can't be changed).  
  10. Click the Create button. 
  11. Print the page that opens and give it to the patron. 
  12. Email the patron a copy of their printout (unless they decline!)

If there are complaints about being unable to use Eduroam via guest credentials, please log them on stats form. If the user would like to talk with someone, please contact Janna and Jen. 
 

Borrower's Permits

 

The Borrower's Permit and Proxy Card explanation on Circulation site details who is eligible for borrower's permits and proxy cards.

  • Patrons must have a picture ID to check things out, even for 2-hour reserves. If they don't have their UI or hospital IDs on them, they can use a drivers license. If they don't have anything with a picture on it, they can't check materials out. 
  • Patrons using proxy cards and community borrowers must show an ID when the cards are issued, but not when they use them.

Who can make permits:

There is a group of employees at the library trained to make permits and proxy cards:  Michelle, Mark, Cassie, and Helen. Have one of them create or help you if possible. If none of these employees are available, you can create a card yourself following the directions from documents at the top of this page. 

If you receive a call or a desk query from a community borrower who says their password no longer works, you can set a new password in the patrons record. If you have any questions, please let Donald Baxter know or e-mail lib-maincirc@uiowa.edu.

If you make a new card for a community borrower (barcode change), you can make their password match the embedded number in the barcode which might make it simpler for the user to remember. 

Some users have been prompted to change their passwords and if they contact us, you should confirm that password prompt is a message from us (some users might be concerned that it’s not a legitimate request).

Who can get a permit:

  • any resident of Iowa
  • any employee at the Iowa City VA hospital
  • Any faculty member at a higher ed institution in the state of Iowa
  • anyone here for training or a short course at UIHC/UI that does not have a regular ID card 

We need to see a valid PHOTO ID.  We do not strictly require proof the person is actually a resident of Iowa.

If a user requests information about a permit, they can fill out the form to get the process started.

Faculty/staff/students from another CIC institution:

Faculty from another CIC institution may present a CIC borrower's card to receive library borrowing privileges. CIC institutions include: University of Chicago, University of Illinois, Indiana University, University of Maryland, University of Michigan, Michigan State University, University of Minnesota, University of Nebraska – Lincoln, Northwestern University, Ohio State University, Pennsylvania State University, Purdue University, Rutgers University, and University of Wisconsin-Madison.
Undergraduate students from another CIC institution may present their student ID card to receive borrowing privileges . 
 

How to loan an item to a TRAC walk-in borrower

  • University of Northern Iowa
  • Drake University
  • Wartburg College
  • Hawkeye Community College
  • Grand View Community College
  • St. Ambrose University
  • Iowa State University
  • Creighton University

How to loan an item to a TRAC walk-in borrower

  1. Navigate to ‘Manage Patron Services’ in Alma
    (i.e. AlmaàFulfillmentàCheckout/CheckinàManage Patron Services).
  2. Check the box labeled “Find user in other institution.”
  3. A new drop-down option for “Institution” will appear.
  4. Select the relevant institution (e.g. Hawkeye, Iowa State, University of Northern Iowa, etc.).
  5. Scan patron’s ID (or enter the user's ID number from their institution) and hit return or click the “Find User” button.
    1.  The magnetic stripe or barcode might not locate the patron’s record at their home institution, so you might have to type in the number printed on the patron’s ID card. You cannot search for a patron by name if this is the first time they are a walk-in borrower to the University of Iowa.
  6. A new patron record will appear with basic information from their home institution (First Name, Last Name, email address, and expiration date). An ID will be automatically assigned.
  7. Click on the “Update User” button.
    1. If the patron record has already expired, you will get a pop-up notice informing you that the patron’s record is expired. Hit cancel as we are not to override any policy from their home institution. They will be unable to check out materials until they can resolve the issue at their own institution.
  8. Scan in the barcode of the item and hit return or click the “OK” button.
  9. They should then receive a 90 day loan for their items.
